Privacy notice

Who is responsible for your information

RED EPOS is a sole trader business run by David Lyons in the United Kingdom. For the purposes of UK data protection law, I am the data controller for information collected through this website.

Anything to do with your own information — a question, a correction, a request to delete something — goes to admin@redepos.co.uk. For ordinary support and enquiries, use support@redepos.co.uk or 07885 671481.

What the enquiry form collects

When you send the enquiry form on the contact page, I collect:

  • Your name
  • Your email address
  • Your phone number, if you choose to give one
  • Your business name, if you choose to give one
  • The subject you select, and the message you write

I also record, automatically:

  • The IP address the enquiry was sent from, and the date and time it was sent

Do not put anything in the message box that you would not want sitting in an email inbox. If you need to send me something sensitive, ring first and we will find a better way.

Why I collect it, and the lawful basis

Your name, email address, phone number, business name and message are collected so that I can read your enquiry and reply to it. The lawful basis is legitimate interests: you have contacted a business asking it to get in touch, and replying to you is the obvious and expected use of what you sent. Where you are already a customer, the basis for handling your information is performance of a contract.

The IP address and timestamp are collected for one reason: to stop the form being abused by automated spam, by limiting how many times the same connection can submit it. The lawful basis is legitimate interests, specifically keeping the site working and usable.

I do not use anything you send for marketing. I do not add you to a mailing list. I do not sell, rent or share your details with anyone for their own purposes.

Artificial intelligence

Nothing you send through this website is fed into an AI system. The enquiry form is a form: it writes what you typed to a file and emails it to me, and that is all it does.

Where AI tools are used in work carried out for a customer, that is agreed with the customer in advance, restricted to information they have approved, and always has a person reviewing the output. No decision about any individual is made automatically.

What happens to it

Your enquiry is written to a file on the server that hosts this website, which is a virtual private server located in the United Kingdom. It is then emailed to support@redepos.co.uk so that I see it.

That means two other parties are involved in the ordinary course of things: the company hosting the server, and the provider handling the email. Both act on my instructions and neither uses your enquiry for their own purposes.

How long it is kept

An enquiry that does not turn into work is deleted after 12 months. If it does turn into work, the records that go with that work are kept for six years after the end of our dealings, because HMRC require business records to be kept for that long.

You can ask me to delete your enquiry sooner than that, and I will, unless I am required to keep it for the tax reason above.

Your rights

Under UK data protection law you can ask me to:

  • Tell you what information I hold about you, and give you a copy of it
  • Correct anything that is wrong
  • Delete what I hold, where there is no good reason for me to keep it
  • Stop using it, or restrict how it is used
  • Object to me handling it on the basis of legitimate interests

To do any of that, email admin@redepos.co.uk and say what you want. You do not need to use any particular form of words. I will respond within one month. There is no charge.

If you want your enquiry deleted, say so and it will be deleted from both the file on the server and the email inbox.

Complaints

If you are not happy with how I have handled your information, you can complain to the Information Commissioner's Office, which is the UK regulator. Their website is ico.org.uk (opens in a new tab) and their helpline number is on it. I would rather you came to me first so I can put it right, but you are not obliged to.

Automated decisions

There are none. Nothing on this site profiles you or makes any decision about you automatically.

Other systems

The helpdesk at helpdesk.redepos.co.uk (opens in a new tab) is a separate system with its own login and its own handling of your information. This notice covers this website only.

02/ Cookies

Cookies

This website does not set any cookies of its own. There is no analytics on it, no tracking, no advertising pixels, no social media embeds, and no consent banner, because there is nothing to consent to.

That is a statement about how the site is built, not a promise about the future. If tracking of any kind is ever added, this section will be updated and a proper consent banner will appear with it.

Two things are worth mentioning for completeness:

Fonts

The typefaces on this site are loaded from Google Fonts. That does not set a cookie, but it does mean your browser makes a request to Google's servers, and Google will see your IP address and basic browser information as a result. That is the only third-party request this site makes.

The enquiry form

The form includes a hidden timestamp field used to spot automated submissions. It lives in the form itself, not in a cookie, and it is gone the moment you leave the page.

The helpdesk at helpdesk.redepos.co.uk (opens in a new tab) is a different system and does set cookies, because it has to in order to keep you logged in.

What this site is

This website describes what RED EPOS does and what it supplies. It is a catalogue and an introduction, not a shop. There is no basket, no checkout and no way to buy anything through it. Nothing on this site is a contractual offer.

Prices

There are no prices on this site. Any figure for hardware, software or work is given directly, in writing, in response to an enquiry, and only that written quotation is binding.

Product information

Product names, descriptions and specifications come from the manufacturers and their published material. Manufacturers change specifications, and products get withdrawn. I take reasonable care to keep this accurate but I cannot guarantee that every detail is current. If a specific specification matters to your decision, ask me to confirm it before you order.

Product names, logos and trade marks belong to their respective owners. ICRTouch, CES Software, Sam4s, Aures, Hisense, Quorion and any other names used on this site are the property of those companies, and their use here is to identify the products concerned.

Availability

I try to keep this site up and working. I cannot promise it will always be available, and it may be taken down for maintenance without notice. Nothing on this site should be relied on as the only route to support: if you have a problem and the site is down, ring 07885 671481.

This site links out to other websites, including manufacturers, download hosts and the helpdesk. I have no control over those sites and I am not responsible for their content or their handling of your information. Their terms and privacy notices apply when you are on them.

This site's content

The text, layout and design of this website belong to RED EPOS. You are welcome to read it, print it and share links to it. Please do not copy the content wholesale onto another website.

Limits

Nothing here excludes or limits liability where the law does not allow it to be excluded or limited, including for death or personal injury caused by negligence, or for fraud. Beyond that, this site is provided for information and I am not liable for any loss arising from relying on it. The terms of any work I do for you are set out in the quotation and any agreement for that work, and those terms govern the work rather than this page.

Governing law

These terms, and anything arising out of them, are governed by the laws of England and Wales. The courts of England and Wales have jurisdiction.

Changes

I may update these terms. The current version is the one on this page, and the date it was last changed is at the top.
